Why this one first
If you only adopt one thing, make it this. There's no workflow to design and no prompt to learn — it runs while you do what you were already doing, and it fixes a problem every business has: the meeting happened, everyone agreed something, and nobody wrote it down.
Pick one, don't research for a week
Start with the last row. Most people are paying for this already.
Say something. Once.
In many US states, one party consenting to a recording is enough — but that's the legal floor, not how you keep clients. Being visibly casual about it costs nothing:
Nobody has ever been annoyed by that sentence. Plenty of people have been annoyed to discover a recording after the fact. In a two-party-consent state, or with anything sensitive, get an actual yes.
Turn the transcript off
The most common mistake is leaving these tools on their default, which emails everyone a full transcript. Nobody reads a 4,000-word transcript, and you've now created a permanent verbatim record of every offhand comment in a client meeting.
Configure it to produce three things: decisions, action items with owners, and open questions. That's the entire value. Keep the transcript private and let it expire.
The habit that makes it worth having
The notes are not the point. The follow-up is. Take two minutes at the end of the call:
Sending that within an hour of a meeting puts you ahead of most of your competitors, who send it three days later or not at all. That's the whole trick.
Do this now
- Check whether Zoom, Teams, or Meet already includes notes on your plan.
- Turn off automatic transcript sharing. Keep decisions and actions only.
- Say the one sentence at the top of your next call.
- Send the follow-up email within the hour.
